An invoice that a client can pay on the spot gets paid faster than one that says "send to 024 xxx xxxx and share the screenshot". That is the difference between invoicing apps in Ghana: some make a nice-looking document, and some also collect the money.
This guide compares six ways to invoice clients going into 2027, from free templates to apps with a Pay now button.
Details were checked on each company's website in October 2026. Features and prices change, so check before you decide.
What to look for in an invoicing app
- A Pay now button with mobile money. Most Ghanaian clients, and plenty of businesses, pay by MoMo.
- Part payments, so a client can pay a 50% deposit now and the balance later.
- Clear statuses: sent, part paid, paid, overdue.
- Your logo and business details on every invoice.
- Discounts, tax and due dates.
- A PDF the client's accounts team can file.
- Payments recorded automatically, so you are not matching transfers to invoices at the end of the month.

1. Paylead
Best for: freelancers, agencies, printers, caterers, tailors and anyone who invoices clients who pay by MoMo.
On Paylead you go to Invoices, add the client and the line items, then a discount, tax, due date and note if you need them. The client gets the invoice by email with a Pay now button, and you can share the link on WhatsApp too.
- Clients pay by MTN MoMo, Telecel Cash, AirtelTigo Money, Visa or Mastercard, and can download a PDF.
- Part payments: allow a deposit first, and the invoice shows as part paid until the balance comes in.
- Statuses: sent, part paid, paid and overdue, so you can see who still owes you.
- Every payment shows up in your orders and wallet like any other sale.
Fees: free to start. Invoice payments cost 4% + GH₵ 1, processing included, or the client can pay the charge. Withdrawals to MoMo or bank are a flat GH₵ 5, next working day. See the invoice guide.
Watch out for: Paylead is not accounting software. If you need full bookkeeping, payroll or tax returns, use it alongside your accountant's tools.

2. Zoho Invoice
Best for: businesses that want a free, polished invoicing app and mostly get paid by bank transfer.
Zoho Invoice is a free app with templates, recurring invoices, reminders and client records.
- Strengths: free, professional templates, reminders and reports.
- Watch out for: online payments go through payment gateways it connects to. Check which ones work for Ghanaian clients paying by mobile money before you rely on it.
3. QuickBooks
Best for: businesses whose accountant already works in QuickBooks.
QuickBooks is full accounting software: invoices, expenses, bank reconciliation and reports.
- Strengths: invoices sit inside your books, which your accountant will like.
- Watch out for: it is a paid monthly subscription, and more than most small businesses need just to get paid. Check how clients in Ghana can pay its invoices.
4. Paystack
Best for: registered businesses already using Paystack.
Paystack lets you request payment from a customer, and charges 1.95% on local payments in Ghana.
- Strengths: a low fee from a trusted payment company.
- Watch out for: you need business verification first, and it is a payments tool rather than an invoicing tool. Check how much detail (line items, tax, part payments) you can put on a request.
5. A Word or Excel template
Best for: a handful of invoices a month.
A template is free and looks professional if you take care with it. But the client still has to find your MoMo number or bank details, pay separately and tell you. You track who paid, by hand.
If you go this way, use our invoice template and checklist.
6. A WhatsApp message
Best for: small, informal jobs with people you know.
"That's GH₵ 350 for the cake, send to my MoMo." It is fast, but there is no record, no due date and nothing to show an accountant later. It is also the easiest message to forget.
How much does a slow payment cost you?
Say you invoice GH₵ 3,500 for 40 branded T-shirts and the client takes three weeks to pay because they had to "process" a transfer. You have already bought the shirts and paid for printing. A Pay now button with MoMo, and a 50% deposit up front, often turns three weeks into a day.
How to choose
- Your clients pay by MoMo and you want deposits: Paylead.
- You want free invoices and clients pay by bank transfer: Zoho Invoice.
- Your accountant uses it: QuickBooks.
- You only need to collect one amount, not itemise work: a payment link is quicker.
