How to promote a webinar and get people to actually show up

To promote a webinar, give it a title that promises one clear result, put registration on a simple page that takes seconds on a phone, promote it for 10–14 days where your audience already spends time, and remind people a day before, an hour before and when it starts. Usually only a fraction of the people who register turn up, so reminders and a replay matter as much as promotion.

1. A title people want to attend

Promise one outcome for one kind of person:

  • Weak: "Digital Marketing Webinar"
  • Strong: "How to get your first 10 customers from TikTok (for Accra small businesses)"

Add the date, the time in GMT and how long it lasts: "Thursday, 7 pm, 45 minutes".

2. A registration page that takes 10 seconds

  • The title, three things they'll learn, who you are, the date and time.
  • Name, email and phone. Nothing more.
  • For paid webinars, payment by MoMo or card on the same page.

On Paylead, set up a webinar and you get the registration page, reminders, calendar invites and a private room link. You can also put the signup on your own website with a webinar signup embed.

3. Where to promote it

Channel How
WhatsApp status Daily for the last week, with a countdown
WhatsApp/Telegram groups One post with the admin's permission, ideally a week out
TikTok and Instagram Short videos teaching one point from the webinar, "full session Thursday, link in bio"
Email list An announcement, then a reminder 2 days before
X (Twitter) A thread of tips, with registration in the last post
Partners Ask someone with the same audience to co-host or share
Paid ads A small budget for a week, to the registration page

4. A 14-day promotion plan

  • Day 14: announce. Open registration.
  • Days 13–8: one teaching post a day, each linking to registration.
  • Day 7: partners share; post in groups.
  • Days 6–2: "What you'll learn" posts, a short video from you, questions from people who registered.
  • Day 1: "Tomorrow at 7 pm." Last chance to register.
  • Day 0: "Starting in 1 hour" and "We're live now".

5. Get registrants to show up

  • Reminders: Paylead emails every registrant a day, an hour, 30 minutes and 5 minutes before, with their private room link, and texts the link 15 minutes before to anyone who gave a phone number.
  • Calendar invite: people who add it to their calendar are more likely to come.
  • Give them a reason to be live: a bonus or Q&A only for live attendees.
  • Pick a good time: evenings after work (7–8 pm) and Saturday mornings often work in Ghana.

6. Sell at the end (if it's free)

If the webinar is free, end with a clear offer: your course, coaching or product, with a deadline. On Paylead you can show an offer in the room at a set minute, so attendees buy without leaving. See how to sell with a free webinar.

7. Use the replay

Send the replay to everyone who registered, with the offer, for 48 hours. Later, turn your best session into an evergreen webinar that runs on a schedule without you.

Frequently asked questions

Free or paid webinar?

Free gets more registrations and works for selling something bigger at the end. Paid (even GH₵ 20–GH₵ 50) gets fewer registrations but far better attendance.

How long should a webinar be?

45–60 minutes is plenty: about 30–40 minutes of teaching, then the offer and Q&A.

What if only a few people show up?

Teach as if the room were full, then send the replay to everyone. Many sales come from the replay.
